Who we are

These terms are between you (the customer) and Import QC ("we", "us"), an independent third-party quality control service operating across China, reachable by email, phone and on WhatsApp at the same number.

They govern every quotation, booking and inspection we carry out. By sending a booking request, accepting a written confirmation, or paying an invoice, you accept these terms. If a written confirmation we send you says something different from this page, the confirmation wins for that booking.

The services

We provide three on-site services at factories and warehouses across China:

  • Factory Audit — verification of the supplier's legal status, real production capability, quality system and working conditions, before you commit money.
  • Pre-Shipment Inspection (PSI) — random sampling and checking of finished goods against your specifications, typically to ANSI/ASQ Z1.4 (AQL), before the balance payment.
  • Container Loading Supervision (CLS) — witnessing the loading of your goods: quantity, carton condition, loading method, container and seal numbers.

Services are charged per man-day: one inspector, one site, one working day of up to 8 hours on site, plus same-day reporting work. The detailed scope of each service is described on our Services page and in your booking confirmation; the confirmation forms part of this agreement.

Booking, pricing & payment

  • All prices are in US dollars. The base rate is $149 per man-day. Remote-area factories add a travel fee of $25–50 per man-day, always confirmed in writing before payment. Urgent scheduling (on site within 24 hours, guaranteed) adds 25%. Booking all three services together takes 10% off.
  • Any total shown by the website calculator or booking form is an estimate. The binding price is the one we confirm to you in writing (email or WhatsApp) before any payment. You will never be charged more than the confirmed amount.
  • We do not take payment on the website. After your slot is confirmed we email a secure payment link, processed by our payment partners (such as PayPal). Your slot is locked when payment clears.
  • You never pay before receiving our written confirmation. An unpaid booking request is an enquiry, not a commitment by either side.
  • Prices are exclusive of any taxes that may apply in your country; those are your responsibility where applicable.

Scheduling & timing

  • Standard booking: our inspector is on site within 24–48 hours after confirmation of the order. "Confirmation" means our written slot confirmation plus cleared payment.
  • Urgent booking (+25%): on site within 24 hours of confirmation, guaranteed.
  • Inspections are performed on Chinese business days, China Standard Time. Weekends and Chinese public holidays are not counted in the windows above — if your window crosses one, we tell you the exact date in the confirmation.
  • The preferred date you give us is a target, not a guarantee — the binding inspection date is the one in our written confirmation.

What we need from you

  • Accurate booking details: factory name and full address, a supplier contact, product and specification information. The inspection can only be as good as the information behind it.
  • You confirm you have the right to commission an inspection at the named facility, and you will tell the supplier we are coming (or explicitly ask us to coordinate the visit).
  • Reasonable supplier cooperation: access to the goods, the production area and the loading area, and cartons opened for sampling where needed.
  • Changes of date, address or scope are free until 12 hours before inspector dispatch (Section 07) — after that, the man-day is committed.

Reports & delivery

  • Every service is delivered as a digital report in English, sent to the email address on your booking: PDF report plus photographic evidence.
  • PSI: a same-day preliminary result by message, full report within 24 hours of the inspection. Factory Audit and CLS: full report within 24 hours of the inspection.
  • The report is a factual record of what the inspector found, plus the inspector's professional judgment, produced with reasonable skill and care. It reflects the date, site and sample actually inspected.
  • Delivery is complete when the report email is sent. Please keep a copy; we retain one too (Section 10).

Cancellations & refunds

"Inspector dispatch" happens at 6:00 AM Beijing time on the binding inspection date in your written confirmation — the moment the inspector's day and travel are committed to your job.

  • You cancel up to 12 hours before dispatch — that is, by 6:00 PM Beijing time on the evening before the inspection date: full refund of the affected service(s), no questions asked, or a free reschedule — your choice.
  • You cancel inside 12 hours of dispatch, or after dispatch: the inspector's day is already committed, so the affected man-day(s) are billed in full.
  • The factory changes the date, and we are told before dispatch: rebooked at no charge.
  • Problems discovered on site — supplier refuses access, goods not produced or not packed, factory closed: the man-day is billed (the inspector did the travel and the day), and a new date is booked at the standard rate. We document everything so you can take it up with the supplier.
  • We miss the confirmed window through our own fault: any urgent premium is refunded in full, and you may cancel the unperformed service(s) for a complete refund of those services instead of rescheduling.
  • After the report is delivered, the service is rendered and is not refundable. If you dispute a finding, tell us — we re-review the photographic and measurement evidence with the inspector free of charge. If we genuinely failed to follow the agreed checklist, we re-inspect the missed items free or refund the affected portion.
  • Multi-service bookings are settled per service: cancelling or refunding one man-day never affects the others.

Please come to us before filing a chargeback. Almost everything resolves in one message, and a chargeback freezes the funds for weeks for both sides. We answer every dispute with full documentation — booking record, dispatch log and the inspector's evidence.

Scope & limitations

  • Sampling is statistics, not magic. A PSI checks a random sample to an agreed AQL level. A passed inspection means the sample met the standard — it cannot guarantee that every single unit in the shipment is defect-free. It gives you the evidence and the odds, which is exactly what it is for.
  • A Factory Audit is a point-in-time snapshot of the factory as we found it on the day, against the audit checklist.
  • CLS records what was loaded and how. It is supervision and evidence — not cargo insurance, and not a guarantee against damage in transit after the container is sealed.
  • We perform the checks agreed in the booking confirmation. We are not a certification body, and our reports are not certifications, legal compliance opinions or laboratory test results unless explicitly quoted as such.

Liability

  • Our total liability for any booking is capped at the fees you actually paid us for the affected service(s).
  • We are not liable for indirect or consequential losses — lost profits, lost sales, shipping delays, customs decisions, storage costs, or a supplier's fraud or insolvency beyond what the agreed inspection scope covers.
  • The decision to pay a deposit, release a balance payment or ship goods is always yours. Our report informs that decision; it does not make it for you.
  • Nothing in these terms excludes liability that cannot be excluded under applicable law.

Confidentiality & your data

  • Your booking details, supplier information and reports are confidential. They are shared only with the inspector(s) assigned to your job and with our payment processors, only as needed to deliver the service.
  • The report is yours. Use it internally, share it with your supplier or your own customers as you see fit.
  • We do not sell your data. We may use fully anonymized, aggregated findings (for example, defect-rate statistics) that cannot identify you, your supplier or your products.
  • We keep report files for 24 months and can re-send a copy on request.

Disputes & governing law

  • Talk first. Any disagreement about a booking or a report goes to a senior review the moment you message us — answered within 2 business days.
  • If we cannot resolve it together within 30 days of good-faith negotiation, these terms are governed by the laws of the jurisdiction where Import QC is registered, whose courts have exclusive jurisdiction — without regard to conflict-of-law rules.

Changes to these terms

We may update this page as the service evolves. The version in force when you pay for a booking applies to that booking — we never change the rules retroactively. The date at the top of the page always shows the current version.
